Custom Embroidered Patches: Frequently Asked Questions

Straight answers about ordering, artwork, options, production, payment, and delivery — from our embroidery team.

Below are the questions customers ask us most, grouped by stage. If yours isn’t here, that’s perfectly fine — every project is unique. Just ask us or request a free quotation, and a real person will help.

Pre-Sales & Ordering

How do I get started?

Start by requesting a free quotation and, if you have it, uploading your artwork. Tell us your idea, approximate quantity, and how you’ll use your patches; our team reviews every request and replies with clear next steps. There’s no obligation at this stage.

Is the quotation free?

Yes, requesting a quotation is completely free and carries no obligation. You can explore your options and ask as many questions as you like before deciding anything.

Do you have a minimum order quantity?

No, there is no minimum order quantity. Whether you need a single meaningful piece or a large run, we’re glad to help.

Can I order just one patch?

Yes, you can order a single patch. Many customers start with one design and reorder later, and our process works the same way whether you need one or thousands.

How much do custom patches cost?

Pricing depends on size, quantity, thread colors, embroidery coverage, backing, and border, so every project receives a tailored quotation. Request a free quote and we’ll prepare clear, itemized pricing for your specific patches — see our Pricing Guide for what shapes your quote.

What if my requirement isn’t listed on the website?

Simply ask — if you need something specific, we’ll review your requirements and recommend a suitable solution. Every project is unique, and we’d rather discuss an unusual request than force it into a predefined box.

I’ve never ordered patches before. Can you help?

Absolutely — guiding first-time customers is a core part of what we do. We’ll explain each option in plain language, review your artwork, and walk you through every step, so you never have to guess.

Do you make patches for my industry or organization?

Yes, we craft custom embroidered patches for businesses, corporate brands, uniforms, schools, scouts, sports teams, police and fire departments, security companies, military and tactical units, motorcycle clubs, fundraising groups, and individual DIY projects. If your use isn’t listed, ask — we likely craft patches for it too.

Artwork

Can my logo be embroidered?

Most logos can be embroidered beautifully, and every design is professionally reviewed first. If an adjustment would improve the embroidered result, we’ll explain why and recommend a refinement while preserving your original design.

What if my logo is low resolution?

A low-resolution image is usually fine to start with, because our team reviews it and advises you. Embroidery is recreated from your design rather than printed directly, so we’ll tell you if we need a clearer version or can work from what you’ve sent.

What file formats do you accept?

We accept JPG, PNG, PDF, AI, EPS, and SVG files. If your artwork is in another format, send what you have and we’ll let you know whether we can use it or need something else.

How do I upload my artwork?

You upload your artwork directly in the quote form, where you can attach one or more files. If your file is too large or isn’t ready yet, you can still request a quote and send it afterward.

I don’t have finished artwork yet. Can I still get a quote?

Yes, you can request a quotation before your artwork is ready. Share your idea and any rough concept, and we’ll help you move it toward a design that embroiders well.

Will you change my design without asking me?

No, we never change your design without your approval. If we recommend a refinement for cleaner embroidery, we explain it first, and you’ll see and approve a digital proof before anything is produced.

Do you help prepare artwork for embroidery?

Yes, refining artwork for clean embroidery is part of our review process. Where a design needs adjustment — such as simplifying fine detail or resizing small text — we handle it thoughtfully and keep your original intent intact. See our Artwork Guide for tips.

Design & Options

Which backing should I choose?

Choose your backing based on how you’ll use your patches — sew-on for the most durable attachment, iron-on for convenience, Velcro (hook-and-loop) for tactical or interchangeable use, and adhesive for temporary placement. If you’re unsure, we’ll recommend the right option during your artwork review; the Backing Options Guide explains each in detail.

What’s the difference between a Merrow and a hot-cut border?

A Merrow border is a classic raised, stitched edge ideal for standard shapes, while a hot-cut border is a clean, precise edge suited to detailed or custom shapes. Our Border Guide shows both, and we’ll suggest which works better for your design.

What size should my patch be?

The right size depends on where the patch will be worn and how much detail your design contains. Larger patches hold fine detail and small text more comfortably; if you’re unsure, share your artwork and intended placement and we’ll advise — our Size Guide helps too.

How many thread colors can I have?

Your design can include multiple thread colors, and we’ll confirm the count during your artwork review. Because each color adds setup and thread changes, we’ll also let you know how your color choices affect your quotation.

Do you offer special finishes like metallic thread or 3D puff?

Yes, we offer specialized finishes such as metallic thread, 3D puff (raised) embroidery, glow-in-the-dark thread, and fully custom shapes. Tell us the effect you’re after and we’ll recommend how to achieve it.

What if I don’t know the embroidery terminology?

That’s completely fine — you don’t need to know any terminology to work with us. We explain every term in plain language and recommend suitable options, so you can decide with confidence rather than guesswork.

Production & Approvals

What is a digital proof?

A digital proof is a visual preview of your patch that you review and approve before production. It lets you confirm the design, colors, and details, and request revisions if anything isn’t right — nothing moves forward until you’re happy.

What is a production sample?

A production sample is a physically manufactured example of your patch, photographed for your approval before the full run begins. This step confirms the real, stitched result matches your expectations, and it’s why production doesn’t start until you approve the sample photographs.

Can I request changes or revisions?

Yes, you can request revisions at the proof stage and again after reviewing your production sample photographs. We’ll prepare an updated version based on your feedback and keep refining until you’re ready to approve.

How long does production take?

Production time depends on your design, quantity, and finishing options, so we confirm a realistic timeline after your artwork review and approvals. We’ll keep you updated throughout, and you can follow progress in your customer portal.

When does production actually begin?

Production begins only after you’ve approved your digital proof, completed payment, and approved your production sample photographs. These checkpoints exist to protect your budget and make sure the finished patches are what you expect.

Will the colors be accurate?

We match your colors as closely as embroidery threads allow, and confirm them with you through the digital proof and production sample stages. Thread colors are selected to represent your design faithfully, and your approval at each stage keeps everyone aligned.

How do you check quality?

Every order is inspected for quality before it ships. Our team reviews stitching, colors, and finishing against your approved sample, so what arrives reflects what you approved.

Payment

How do I pay for my order?

You pay securely online through a clear invoice issued after you approve your digital proof. Payment is straightforward, and you’ll always see exactly what you’re paying for before you proceed.

Is online payment secure?

Yes, payments are processed securely through 2Checkout (Verifone), a trusted global payment provider. Your payment details are handled by the provider’s secure systems, not stored casually by us.

When do I pay?

You pay after you’ve approved your digital proof and received your invoice, and before production of your full order begins. There’s no payment required to request a quotation or review your options.

Can I get an invoice for my records?

Yes, you’ll receive a clear, itemized invoice that you can review and download from your customer portal. It shows what’s included, so your records are transparent and complete.

Shipping & Delivery

Do you ship internationally?

Yes, we ship worldwide. Wherever your organization is based, we can deliver your finished patches to your door.

Which carriers do you ship with?

We ship via DHL and FedEx, both trusted international carriers. We select the appropriate service for your destination and timeline.

Can I track my order?

Yes, we provide tracking information once your order ships. You can follow your shipment to delivery, and your tracking details are available in your customer portal.

How long does delivery take?

Delivery time depends on your destination and the shipping service used, and we’ll confirm an estimate before your order ships. Once it’s on its way, your tracking information lets you follow its progress.

What does shipping cost?

Shipping is quoted as part of your overall project, based on your order’s weight, destination, and the speed you need. You’ll see it clearly in your quotation, with no hidden charges.

Account & Customer Portal

What is the customer portal?

The customer portal is your private, secure space to follow your project from start to finish. It keeps your quotation, digital proofs, production sample photos, comments, invoices, approvals, and shipment tracking in one place, so you always know what’s happening.

How do I log in to my account?

You log in with the customer login using the email and password linked to your project. Your portal is created automatically once you request a quotation, so your project is ready when you are.

Can I reorder a previous design?

Yes, you can reorder a previous project from your customer portal. Because your design and specifications are saved, repeat orders are simple, and we’re always happy to adjust details for a new run.
